One of the most common concerns I hear from clients is, "I didn't receive my confirmation email," "My reminder never came through," or "Why am I not getting my intake forms?"


As more businesses move toward online scheduling and automated systems, email communication has become an important part of the appointment process. I use electronic scheduling to send appointment confirmations, reminders, intake forms, receipts, and other important information. These emails may come through acuityscheduling.com. Please add acuityscheduling.com to your list of approved email addresses.


If you are not receiving emails, the first thing to do is check your spam, junk, promotions, clutter, or filtered email folders. In many cases, the email was successfully sent but filtered by your email provider.


It is also important to verify that your email address and phone number were entered correctly when scheduling. A single typo can prevent appointment information from reaching you. If someone else scheduled an appointment on your behalf, make sure that your information was entered correctly and that communications are being sent to your email address and not theirs.


Some email providers require users to approve or validate incoming emails before delivery. If you receive a request to approve communications, please complete that process.


Additionally, please do not block emails or text messages related to your appointment. These communications are often the primary source of scheduling information, intake paperwork, reminders, and updates.


In some situations, previous appointments or recurring appointments may contain outdated information. When this happens, appointments may need to be canceled and re-entered into the scheduling system to ensure future communications are delivered correctly.


Please understand that once an email leaves the scheduling platform, delivery is influenced by your email provider, spam filters, security settings, and account preferences. Unfortunately, these are factors that are outside of my control.


Like many small businesses, I am continually learning and adapting to new scheduling technologies and automated systems. While these tools help improve efficiency, they are not perfect. Your patience, cooperation, and willingness to review appointment communications help make the scheduling process smoother for everyone.


The best way to avoid scheduling problems is to verify your contact information, monitor your email and text messages, check your spam folders regularly, and carefully read the information sent to you.
